B2B sales software in 2026: the best tools for every stage of the sale

B2B sales software compared by sales stage: data, CRM, engagement, call intelligence, CPQ and forecasting, with October 2026 prices and stacks by team size.

B2B sales software for 2026: Bitscale ranks #1 as the data and research layer with a 4.8 G2 rating, alongside Gong and HubSpot Sales Hub

Disclosure: This guide is published by Bitscale, and Bitscale is our top pick for the data and research layer. We applied the same criteria to every tool. Prices were checked on each vendor's own website on October 21, 2026, unless another date is given.

The short answer: B2B sales software is the set of tools that carries a deal from first contact to forecast. Start with Bitscale as the data layer, because your CRM, sequencer and quote tool all work from the records it fills. Bitscale runs one waterfall across 18+ contact-data providers, tracks 15 buying triggers, and writes verified data back to HubSpot or Salesforce. Then add one tool per stage:

  • CRM: HubSpot Sales Hub for small and mid-sized teams, Salesforce Sales Cloud for enterprise.
  • Engagement: Outreach for larger teams, Instantly for low-cost cold email.
  • Conversation intelligence: Gong.
  • Forecasting: Salesloft, which now sells Clari Forecast.
  • Quotes and proposals: DealHub for complex CPQ, Qwilr for simpler proposals.

The team-size stacks below show what to buy first.

The B2B sales stack by stage: find and research, engage, meet, quote and forecast, with Bitscale as the data layer feeding the CRM and the sequencer

Sort your software by the stage of the sale it serves, not the category name on the vendor's website, and the gaps become obvious.

Why the data layer comes first

Every stage after "find" reads from the CRM: the sequencer pulls contacts from it, the quote tool pulls the deal from it, and the forecast is built on its opportunities. If the records are wrong, every tool downstream inherits the error.

That problem is common. In Salesforce's State of Data and Analytics report, data and analytics leaders estimated that 26% of their organization's data is untrustworthy. And sellers already spend only 40% of their time selling, according to Salesforce's 2026 State of Sales survey of 4,050 sales professionals. Fixing records and researching accounts by hand comes out of that 40%.

That is why Bitscale ranks first. It doesn't replace your CRM or sequencer; it keeps them supplied with complete, verified and current data.

How we chose these tools

We wrote this for sales leaders choosing or rebuilding a B2B sales stack. For each tool we checked stage fit, the pricing model (seats, credits, onboarding fees and minimums) on the vendor's own pricing page on October 21, 2026, how it reads from and writes to HubSpot or Salesforce, and its G2 rating where we could confirm it. We kept to one or two tools per stage, because six tools that each own a job are easier to keep clean than ten that overlap.

The 10 best B2B sales software tools by stage

1. Bitscale: best for the data and research layer that feeds your CRM and sequencer

Bitscale is the GTM data layer for your CRM. It finds and enriches contacts, researches accounts, watches for buying signals and writes the results back to HubSpot or Salesforce, so the tools after it work from accurate records.

  • Pricing:
    • Free plan with 200 credits, no card required.
    • Growth is $349 per month ($314 billed annually) for 15,000 credits a month, with two-way HubSpot sync, webhooks and an HTTP API.
    • Booster is $799 ($719 annually) for 50,000 credits a month, and adds the Salesforce integration.

    • Two-way CRM sync. Pull a Salesforce report, SOQL query or HubSpot list into a live grid, enrich it, and push back only the fields that changed. Job changes, bounced emails and dead domains are flagged.
    • Signals for timing. 15 buying triggers, including exec hires, tech-stack changes, funding and hiring posts, which you can stack (for example, Series B + hiring SDRs + new VP Sales).
    • An AI research agent that runs web, Google and Perplexity research for company, tech-stack, funding and hiring data.
    • Done-for-you setup and migration by Bitscale GTM engineers.
  • G2: 4.8/5 (October 7, 2026).

"Bitscale made our CRM feel alive," says Kieran Krohn, Head of Growth at ScaleStation, which enriched 27,000+ contacts and saw a 60% increase in multi-threaded deals. Phyllo keeps its CRM at 94% coverage and saves $30K a year on stale-data tooling.

Choose Bitscale if you want your CRM and sequencer to run on complete, verified data with signals that tell reps when to reach out, without stitching together several data tools yourself.

  • Pricing: quote only. Licenses are priced per user, with a platform fee based on the number of users. Gong says integrating your existing stack is free.
  • Watch out for: if you're on Salesforce Sales Cloud Core or above, compare Gong with the conversation intelligence already included before buying both.
  • G2: 4.7/5.

Choose Gong if coaching and deal-risk visibility are your biggest gaps and you have enough recorded calls for patterns to show up.

Bitscale doesn't record calls; it keeps the CRM contacts and accounts that call insights land on current.

8. Salesloft: best for forecasting and revenue intelligence

Clari's website now redirects to Salesloft, and Salesloft lists Clari Forecast alongside its Cadence, Conversation Intelligence, Deals and Inspect products. That puts engagement, call analysis and forecasting with one vendor.

  • Integrations: HubSpot, Zoho and Pipedrive on Starter; Salesforce on Scale.
  • G2: not checked.

Choose Qwilr if you send proposals from HubSpot and want them to look good and track opens, without a full CPQ project.

What B2B sales software costs

Sticker prices mislead, because vendors charge in different units:

  • Per seat: HubSpot, Salesforce and Qwilr. Costs scale with headcount.
  • Per account: Bitscale, so adding reps doesn't add seat fees.
  • Credits: Apollo, Bitscale, HubSpot and Outreach. Check what a credit buys and whether it rolls over. Bitscale's credits roll over up to 3x; Apollo's and HubSpot's included credits don't.
  • Platform and one-time fees: Gong adds a platform fee; HubSpot Professional has a $1,500 onboarding fee; Qwilr's higher plans have five- and ten-user minimums.

For quote-only vendors (Outreach, Gong, Salesloft, DealHub), ask for the price at your seat count and the renewal terms before you start a pilot.

B2B sales stacks by team size

Example B2B sales stacks by team size: five reps for about $627 a month, 15 reps for about $3,044 a month plus quotes, and 50 reps for about $10,469 a month plus quotes, each with Bitscale as the data layer

As an illustration only. These stacks use list prices per month, mostly on annual billing, checked October 21, 2026. Where HubSpot shows two prices for a plan, we used the higher one.

Five reps on HubSpot: about $627/month.

  • HubSpot Sales Hub Starter, 5 seats × $20 = $100.
  • Bitscale Growth ($314) for enrichment, signals and two-way HubSpot sync.
  • Instantly Growth ($37.60) for cold email.
  • Qwilr Starter, 5 users × $35 = $175, for proposals.
  • Total: $100 + $314 + $37.60 + $175 = $626.60.

Fifteen reps on HubSpot Professional: about $3,044/month plus quotes.

  • HubSpot Sales Hub Professional, 15 seats × $100 = $1,500, plus the $1,500 one-time onboarding fee.
  • Bitscale Booster ($719) for 50,000 credits a month as volume grows.
  • Qwilr Growth, 15 users × $55 = $825.
  • Outreach for sequencing and Gong for call coaching, both quote only.
  • Total before quotes: $1,500 + $719 + $825 = $3,044.

Fifty reps on Salesforce: about $10,469/month plus quotes.

  • Salesforce Sales Cloud Core, 50 users × $195 = $9,750, which includes forecasting and conversation intelligence.
  • Bitscale Booster ($719) with the Salesforce integration. Enterprise (from $15K a year, or $1,250 a month) adds SSO and custom CRM integrations.
  • Outreach or Salesloft for engagement, Gong if you need more than Core's built-in call analysis, and DealHub for CPQ, all quote only.
  • Total before quotes: $9,750 + $719 = $10,469.

At every size, the data layer is a small share of the total, and it decides whether the rest of the spend pays off.

Integration and data-quality pitfalls to avoid

Most sales stacks fail at the joins between tools:

  1. Two systems of record. If reps work leads in the sequencer and the CRM never hears about it, the forecast is wrong. Make every tool write back to one CRM. Our CRM sync tools guide covers the options.
  2. One-way enrichment. Exported spreadsheets go stale. Bitscale writes back to HubSpot or Salesforce and re-enriches records on a schedule.
  3. Overwriting good data. Bulk imports can overwrite fields a rep corrected. In Bitscale you choose which fields it may update.
  4. Unverified emails in sequences. Bounces hurt every rep on the domain. Route only verified contacts into Outreach or Instantly.
  5. Duplicate tools for one job. Salesforce Core includes conversation intelligence; Outreach and Gong both do forecasting; Apollo and Instantly both sequence.
  6. No owner. Every tool needs someone who maintains it. Bitscale's GTM engineers support every paid plan, with a dedicated engineer on Enterprise.

For the hygiene routine itself, see our CRM data quality guide.

How to choose B2B sales software: a checklist

A B2B sales software selection checklist covering stage gaps, CRM fit, data quality, pricing model, ownership and a pilot, with Bitscale handling the data layer

Use this before you sign any contract:

  • Map your stages and the tool that owns each today. Buy for the biggest gap.
  • Start from the CRM. Every new tool must sync with HubSpot or Salesforce on a plan you can afford.
  • Fix the data first. Measure email, phone and title fill rate on 100 of your own accounts. If key fields are missing, a data layer such as Bitscale lifts every downstream tool.
  • Model the real price at your team size in 12 months, including credits, fees and minimums.
  • Check overlap for forecasting, call recording and sequencing.
  • Name an owner for each tool.
  • Pilot on your own data for 30 days, against a baseline recorded first.

How Bitscale helps

Bitscale is the layer under your sales stack that keeps it supplied with accurate data:

  • Find and research. Build ICP lists and fill emails and mobiles through a waterfall across 18+ providers, with 95% email and phone coverage and bounce rates below 0.5%. The AI research agent adds tech stack, funding and hiring data.
  • Prioritize. Stack 15 buying triggers so reps call accounts that just raised, hired a sales leader or changed tools. See our guide to sales signals.
  • Keep the CRM complete. Two-way sync with HubSpot (Growth) and Salesforce (Booster), source attribution on every filled field, job-change and bad-email flags, and scheduled re-enrichment.
  • Feed engagement. Send verified contacts to Instantly or Smartlead, or to any tool through webhooks and the HTTP API. Outreach, Gong, Salesloft and your quote tool then work from the same clean CRM records.
  • Plug into AI assistants. The Bitscale MCP server gives Claude, ChatGPT and other assistants about 50 tools, at the same credit rate as the app. See our MCP servers for sales guide.
  • Launch faster with ready-made playbooks and done-for-you setup by Bitscale GTM engineers.

Bitscale doesn't record calls, build quotes or forecast the quarter. It makes the tools that do more accurate, because they all start from the data in your CRM.

Frequently asked questions

What is B2B sales software?

B2B sales software is any tool that helps a team sell to other businesses: finding and researching accounts, managing contacts and deals in a CRM, running outreach, recording calls, building quotes and forecasting revenue. Most teams combine several tools around one CRM.

What should be in a B2B sales stack?

A complete stack covers six jobs: a data and research layer such as Bitscale, a CRM, a sales engagement tool, conversation intelligence, quoting or CPQ, and forecasting. Small teams usually start with the CRM, data layer and a sequencer, and add the rest as the team grows.

How much does B2B sales software cost?

At list price, CRMs range from free (HubSpot for two users) to $550 per user per month (Salesforce Max). As an illustration, a five-rep HubSpot stack with Bitscale, Instantly and Qwilr costs about $627 a month. Outreach, Gong, Salesloft and DealHub are quote only.

What is the difference between a CRM and a B2B sales platform?

A CRM is the system of record for accounts, contacts and deals. "Sales platform" usually means a broader suite, such as Outreach or Salesloft, that adds engagement, coaching and forecasting around the CRM. Both depend on accurate data inside the CRM.

Do I need a separate data enrichment tool if my CRM has one?

Often, yes. CRM-native data usually comes from a single source, and no single database covers every buyer. A multi-provider waterfall such as Bitscale's fills the gaps, verifies results and writes them back to HubSpot or Salesforce.

Which B2B sales software is best for small teams?

For small teams, a practical start is HubSpot Sales Hub (free or Starter), Bitscale's free plan or Growth for data and signals, and Instantly for cold email. Apollo is a good low-cost alternative if you want data and sequencing in one seat.
